Before I started at the Foundation two years ago, our database was managed by so many individuals, it was like a revolving door. Each person used DonorPro a little bit differently. I joined the organization with no prior DonorPro experience. For a moment, I felt overwhelmed: new organization, understanding our operations, and needing to dive into a brand new system. That's when I discovered the DonorPro's Customer Service Department.
I'll tell you, there's nothing like their support in the industry. I scheduled my first meeting for online training, expecting to receive general lessons and limited information. To my surprise and pleasure, the lesson was geared directly towards our organization even training with our actual data! Our organization is successful because of the wide variety of people who really make our mission come alive. Volunteers, riders, instructors, donors, horses, and staff all play an important part in the success of our nonprofit. This is the exact reason why our previous nonprofit software did not meet our needs – it couldn't handle the variety of constituents and information we needed to track. We were then referred to DonorPro and couldn't be happier for the introduction.
The operations of our nonprofit can be a lot to track. There are different types of constituents, several locations, and a number of services offered. As our organization grew in both staff and services, it became evident that a more complete, capable, and intuitive system was needed. DonorPro easily met and surpassed these needs. Not only can we create custom fields for various constituent types, we can also grant each user different permission levels needed in order to do their jobs best. I knew it was time for new software for our nonprofit, when I realized we were years deep in a system that provided inaccurate data reports, limited our number of users, and terminated our customer support service (unless we wanted to pay even more money). So when I began reviewing over a dozen software systems for our nonprofit, my priority list was set: unlimited licenses, intuitive software, varying user permission levels, and excellent customer support, all while keeping our budget in mind. Above all, the software selected needed to be able to strongly support us in our mission - a database that would be easy, intuitive, and complete so we could concentrate on our nonprofit goals.
After talking to a organization within the industry that uses DonorPro, I trusted that the software would fit my organization's needs plus give us room to grow. Learning that I can create custom forms for tracking not only donor information but client and volunteer information too was a big hurdle that DonorPro easily helped us overcome. Another hurdle we faced, was the limited technology resources available within the organization. We operate out of several locations on our grounds and I didn't want to be concerned with the safety and upkeep of our physical data and hosting server. Again, DonorPro had a solution. Implementing DonorPro's Software as a Service (SaaS) option, ensures me that the team at DonorPro is protecting our data and updating our software in turn allowing me to dedicate more time to our mission and goals. After reviewing everything that DonorPro has to offer, I quickly recognized that DonorPro presented a solid solution to our needs (customized forms, reliable data, quality reports, off site hosting and maintenance, customer support) and we were soon a thriving DonorPro client.
Now I can say that DonorPro is the central location for all of our efforts – tracking every person who interacts with our organization, communicating with staff and constituents, analyzing our projects and supporting us in our fundraising efforts. We can do all those through one reliable and flexible system. Implementation was actually 'dreamy'. After nightmarish experiences with the previous software, DonorPro's conversion team couldn't have made the process any smoother. They are insightful, responsive, and a pleasure to work with. My satisfaction doesn't stop there. DonorPro's customer care team is phenomenal. I can't remember a time when someone was not responsive with our questions or needs.

DonorPro is where I live while I'm at work. We use the software for practically every piece of our operations – constituent communication, donation tracking, financial reporting, evaluating program success and more. We've even found ways to use the software creatively to interact better within our entire team regardless of where they are. The web-based system has been huge for us while we plan our trips to Haiti. We've even been able to log in and access information on those trips.

Events
We do a lot of fundraising events. Every fall we have a big event with a silent auction. It generates a lot of revenue and is essential to our success. In my first three years with Families First before DonorPro, auction checkouts were miserable, both for our staff and for our supporters. With over 300 items to process, some donors would stand in line for hours. Then we would spend weeks afterwards trying to reconcile
reports, send receipts, and tie up loose ends. For our 2010 fall event, we used DonorPro to plan and manage our event and auction. DonorPro handled sponsorships, seating, registration and all auction logistics – from organizing auction items to checkout and receipting. What a difference DonorPro made! Saturday night, checkout was completed for over 300 guests with 322 items in under 30 minutes. Everyone walked away with their items, thank you letters and receipts. And, on Monday AM, we printed out all financial reports for our event.

When I joined the organization, we were using an old Access database where data was entered very inconsistently by the entire staff. Constituents were categorized inaccurately, records were lost when people left our staff, and there was no uniform way to how the data was inputted. When we decided to explore other options, we focused on our need for a flexible system, strong events management capabilities, and a central hub with custom fields with all of our varied types of constituents in mind.
After exploring almost every nonprofit system, DonorPro worked into our group of finalists. We liked DonorPro because we wanted to do some customization but really wanted to use the software 'off the shelf' with not too much tweaking. My final vetting process was a request to speak with references from the vendors' current clients. DonorPro immediately stood out when they emailed me their entire client list while the others were hesitant or sent just a few. More impressive: each client within the family services industry that I reached gave a very positive review. And now I know why. DonorPro has given us stronger data. We can analyze our data with confidence and in real time so we can react quickly to trends.

We had been using Excel spreadsheets to track our nonprofit's data for some time before deciding to look for new management software. After years of our building frustrations with Excel and our outdated software, we had a laundry list of 'must-haves' for a new system. First and foremost, we needed the ability to obtain a complete understanding of our data – fundraising, event growth, relationships – we wanted it all.
